Facilities Coordinator

With new exciting opportunities on the horizon and the business expanding fast, Farnborough International is looking to strengthen its world class team by recruiting an experienced Facilities Coordinator, to take responsibility for coordinating all administrative services for the Venue Facilities (VF) team.

The Role

Reporting to the Soft Services Manager, you will be responsible for ensuring the venue site, ShowCentre, Farnborough International Exhibition and Conference Centre and Hall 5 are managed in an efficient and professional manner, ensuring work is carried out safely and to standard.

Your primary responsibilities will also include, amongst others:

  • Managing the VF helpdesk function during working hours and during Farnborough International Airshow (FIA)
  • Directing and assigning the relevant people / contractors / suppliers to respond to faults / maintenance / repair requests as required
  • Overseeing the allocation of work / responsibility of suppliers and contractors on a daily basis and facilitating access and permits to work
  • Co-ordinating and updating the planned maintenance requirements using the CAFM system and providing support to VF staff and third party users
  • Developing efficient facilities management administration procedures and processes
  • Developing proficient event services administration processes to assist the teams in the delivery of FIL events

Group H&S Manager

Primarily responsible for managing, maintaining and improving Health & Safety (H&S) for FIL and ADS group (our parent company), including the venue (the Farnborough International Exhibition and Conference Centre site comprising Hall 1, Hall 5, Car Parks and other areas) and Farnborough International Airshow (FIA).

Ensure efficient and safe management of all FIL events and group business activities, compliance with relevant legislation and codes of practice and the implementation and management of the Company Health & Safety policy.

Assisting the Airshow Operational Team in the planning and delivery of FIA.

Key Responsibilities

  • Responsible for managing all aspects of H&S across the company
  • Create a ‘safety first’ culture and look to continuously improve on H&S performance
  • To assist and support the Venue Facilities, Event Management and Airshow Operation teams
  • Maintain an up to date legal H&S compliance register and amend as required to ensure compliance (utilising CAFM system)
  • Lead H&S and embed across the venue to ensure that all events and business activities comply with required legislation and standards
  • Manage and be the main point of contact for H&S suppliers and event safety consultants
  • Audit third party H&S submissions ensuring company Operations Manual and e-guide requirements are fulfilled
  • Implement a risk assessment programme and conduct FIL venue and event risk assessments as required
  • Ensure relevant and detailed method statements are written for all task related risk assessments
  • Chair and set agenda for H&S committee and operational meetings
  • Attend Client production meetings as required
  • Primary point of contact for client H&S requests
  • Manage H&S budget and company H&S training requirements

Organisational Skills

  • Negotiate with contractors and service companies to ensure optimum value and levels of service
  • Build a good working relationship with all contractors, and service companies

Specific Organisational Tasks

  • Keeping contractors/venue/service companies updated with H&S information
  • Work closely with official bodies- Police, Fire, HSE, Local Authorities and foster long-term positive relationships 

Contractor Liaison

  • Build and maintain a good working relationship with contractors
  • Ensure contractors are meeting requirements on an on-going basis by measuring KPI’s
  • Monitor contractor H&S performance on site

People Management

  • Training and education of FIL and ADS staff in H&S matters
  • Third party supplier responsibility
  • Oversee contractual staff giving an outline of tasks expected to be achieved and time scales. Ensure contracted staff are working to an agreed plan, build a good working relationship

General

  • Undertake special tasks and projects when required
  • Produce a regular H&S report to FIL Exec and board

Secondary Duties

Make sure critical time paths are adhered to and the venue is organised and operated to FIL’s standards. Work closely with outside agents to ensure the standards set by FIL and ADS are achieved and maintained.

Sales Executive

The Role

Reporting to the Sales Manager, and working as part an established Sales team, you will be responsible for  attracting and winning new business, as well as achieving up-selling opportunities. Working at all times with the CRM system and E-net to administer applications received and deliver client handling.

Your primary responsibilities will include;

  • Driving the exhibitor sales operation to include maintaining contact, following and closing sales leads
  • Owning the exhibitor up-selling programme and delivering the targets set
  • Delivering new business targets including the delivery of emerging sectors
  • Responding to exhibitors and potential exhibitors efficiently, ensuring as much assistance as possible is given with their applications
  • Maintaining exhibitors’ records on the database and producing invoices where appropriate
  • Proactively assisting in gathering the E-net information required for exhibitors and advising if the system requires updating
  • Co-ordinating acknowledgements to exhibitors once applications are received and inputting onto CRM system
  • Processing and monitoring incoming applications
  • Managing the sales process for new prospects, from initial contact through to closure
  • Achieving all revenue targets & objectives in line with the allocated Business Plan and dedicated sector
